Time worked VS time scheduled report

Post by dialacci »

I am having the hardest time trying to create a report that shows scheduled time VS actual time worked per department. The end goal is to run a report grouped by employee and see where they spent their hours during the pay period.

Any ideas?

Also -
Is there any where that lists the definitions for all the different types of time used in the program?

From what I've gathered...
Scheduled time -> time the employee is scheduled for
worked time -> time from punches, no PTO or other added things
Paid time -> time from punches + PTO or sick time, or whatever else
Regular time -> no idea
Actual time -> no ideaa

Regular time -> no idea
Actual time -> no ideaa
Regular Time is time that isn't absence, or overtime, its just "regular", "normal" or "straight" time where the employees get paid their regular wage.

Actual Time is the difference between the employees rounded punch time, and non-rounded punch time. Its only real purpose is to see how your rounding policies are performing, assuming you have any setup.

Have you tried the TimeSheet Summary report?
Yes, that would be perfect if it allowed you to select the departments... There is no listing for them in the column selection boxes.

There is also no way to show scheduled time minus paid time in the report.

You can show default branch/departments in the TimeSheet Summary report. As for the difference between scheduled time and paid time, none of our reports do that calculation for you at this time.

You can show default branch/departments
If i understand correctly, default departments are what the employee is assigned to - not nessicarily the department they punch in against.

Example:
I have a biologist that is going out to do a presentation at a school, then will do some database work, then some maintenance, then assist on a surgery.

Even though their default Department is Biology, they have clocked out of biology and into Education, then Office, then Maintenance, and then back in to biology.

We need a report to show us a breakdown of the time spent per department and then the total against the time that person was scheduled for.

Correct.

Based on that, there is no single report in TimeTrex at this time that will meet your requirements. A combination of Schedule Summary and Wages Payable Summary should be able to though.

alright, Thank you.

Has there ever been documentation on using something like Crystal Reports with Timetrex? I am very comfortable with that program and could probably create the report myself....

Also, if we were to go with the paid version of the app, could someone create custom reports such as that one for us?

You're welcome to try Crystal Reports if you like, but it would be a extremely complex report to produce and would definitely require intimate knowledge of the inner workings of TimeTrex.

The next major release of TimeTrex v5.0 (Business and Professional customers are already beta testing it right now) has a completely new reporting engine that is much more flexible, although it does not have the exact report that you are looking for it shouldn't be that difficult to implement it from a custom development standpoint.

The v5.0 for the Standard Edition should hopefully be released before the end of the year.

Just an update, v5.0.4 of TimeTrex Business and Professional Editions will contain a remote datasource connector for Crystal Reports and the free alternative Jasper Reports, allowing you to securely and easily create customized reports however you like. Since this connector does all the heavy lifting for you, there is no need to have any knowledge of the internal TimeTrex database whatsoever to generate reports.

v5.0.4 will just be the initial release for it, but we are working on a video tutorial to walk you through the process, but its pretty easy and only takes a couple minutes.

If you are a Business or Professional Edition customer already, you can email support@timetrex.com once v5.0.4 is released and request a early copy of the video.

You can get early access to the Online University video tutorial at the following URL. This video is not complete and does not have sound yet, but it does describe the process:
