Extend Time Sheet Verification Window End

Post by SherriM »

I have tired multiple times to get the 'PENDING EMPLOYEE VERIFICATION" button to extend beyond the end of our pay period. It is currently set to show 2 days prior to end of pay period and -4 days after pay period transaction date. It will show prior to the end of period, but does not show after. Ive tried both the negative and positive number, but it does not show after last day of any pay period.

If the pay period ends on a Friday, it should show on Monday as a reminder for those who did not verify. At this time, they have to click back into prior week to see the button and verify.

Any help is appreciated.

The TimeSheet verify button only appears when the employee is looking at the proper pay period that needs to be verified. Depending on your pay period dates and the employees calendar preferences, they may need to click to view the prior week to see the verify button. This is intentional and changing the verification window settings in the pay period schedule does not change this behavior, it simply changes when employees are allowed to verify their timesheet.

I completely understand that the button is only displayed when the pay period needs to be verified. WHY would it have instructions to set the button view for X days before the transaction date if it was not an option? It should be able to extend out at least 2 days (our cut off) after the period ends, before the transaction date, without having to click back into that period.

By default, employees can only verify timesheets after the pay period ends and before the transaction date. However, you can specify the number of days when the Verification Window Starts and Verification Window Ends, and use negative values here to extend the window in either direction. TimeSheets cannot be verified if any critical severity exceptions or pending requests exist for the employee within the pay period .
FIELD DESCRIPTION
Verification Window Starts Enter the number of days before the pay period end date.
Verification Window Ends Enter the number of days before the transaction date.

You can set the verification window to anything you want, then when an employee is viewing the timesheet for a pay period that needs to be verified, the verify button will appear. The verify button does not appear when viewing pay periods that are not eligible to be verified.

Essentially, if the employee needs to verify a pay period from June 15th to June 30th and today is July 5th, they may need to navigate back to that pay period so they are actually looking at it, and that's when the verify button appears. But if today is June 30th, they likely wouldn't need to navigate back, so it really depends on multiple factors.

The primary purpose of verifying their timesheet is essentially signing a legal document (their timesheet) attesting to the fact that it is correct, so they must read the legal document (timesheet) before signing it. It wouldn't make sense for them to sign the document (timesheet) for June 15th to June 30th when they are looking at a completely different pay period (ie: July 1st to July 15th), as that would cause confusion and make the act of signing it null and void.

Its more of a reminder. Say the Period closes on Friday, 30th and they are in a rush and dont verify. On Monday, that reminder button is no longer active to show that they did not verify their hours. Its not about verifying a different period because they should only be able to verify what was the actual current pay period, and have to click back to review those days.

I constantly have to remind many people when the period ends in one week and the payroll process is the next week. Sounds like you are saying there is no way to get it to show the button reminder after the end of the pay period.

There is the "V1 - TimeSheet Not Verified" exception that can be triggered and email a reminder to the employees automatically.

That would be great if they were all office workers, but the majority of employees are production workers and do not have access to email. I will have to continue to send reminder emails through the system, hope they read them and have supervisors remind at the end of the day.

Thanks for your feedback.

The exception emails also appear as notifications within TimeTrex too, so they would see them when they login even if they don't have email addresses.
